Posting Summary
Rutgers, The State University of New Jersey, is seeking a Temporary Event Assistant for Rutgers Communications and Marketing (R-Comm).
Rutgers Day is one of the university’s most prominent annual events, drawing tens of thousands of visitors to campus and requiring extensive, months-long planning and coordination. Due to the continued growth of this event, R-Comm is hiring a Type 4 casual employee to provide dedicated, project-based support from January 2026 through the end of June 2026.
Key Responsibilities

Serve as a primary point of contact for schools, departments, and units participating in Rutgers Day

Manage program inquiries, confirm details, communicate logistics, gather required materials, and track deadlines
-
Coordinate food vendor applications, approvals, insurance requirements, logistics, and day-of placement for more than 35 vendors

Manage Rutgers Day t-shirt ordering, inventory, delivery, and distribution
-
Assist with planning, scheduling, and posting promotional content for social media campaigns
-
Monitor engagement across social platforms to support audience reach
-
Coordinate the creation, delivery, and assembly of directional signage, program signage, and event information boards

Assist with developing and maintaining performance stage schedules, coordinating with performers and operations staff
-
Provide on-site staffing support at Rutgers Day headquarters, including volunteer coordination and real-time problem solving

Assist with planning and execution of Rutgers Day using the Stova event management system and Microsoft Excel
-
Manage departmental databases and inventories using Microsoft Excel

Respond to community inquiries and phone calls

Provide general administrative support as assigned

Hourly Pay Range: $24-$28 per hour
Final compensation is based on qualifications, experience, internal equity, and available funding.

Qualifications
Minimum Education and Experience
-
Bachelor’s degree in a related field or an equivalent combination of education and experience
Required Skills
-
Strong communication and interpersonal skills
-
Experience with events and logistics management
-
Excellent written and verbal communication skills

High attention to detail
-
Ability to multitask in a fast-paced environment

Advanced knowledge of Microsoft Excel and competency with Microsoft Office applications, including Outlook
Preferred Qualifications

Experience using event management software such as Stova or comparable platforms

Familiarity with social media scheduling and content management tools

Experience supporting large-scale events

Experience working in higher education or large organizations
