Purpose

To maintain and strengthen the vibrant consortial community of the Texas Digital Library through support of the TDL staff and executive team, scheduling and maintaining calendars, processing travel and payments, routing member contracts, and supporting outreach and communications.

Responsibilities

Administrative support: Provide accurate and timely services including invoicing and paying invoices, calendaring for internal and external business meetings, coordinating virtual and in-person business meeting arrangements, preparing forms and making payments for travel, and corresponding with internal and external stakeholders with proactive communication and follow up. Route and maintain contracts, files, and other confidential materials. Order materials and equipment, process payments, and ensure delivery. Maintain records and archives with accuracy and discretion.

Event Support: Assist with event coordination and production, including the annual Texas Conference on Digital Libraries, monthly webinars, regular meetings (both virtual and in-person), and ad hoc symposia. Communicate proactively with staff, members, vendors, and partners about events. Set up meeting spaces both online and in-person. Assist with committee work, provide online and local support for conference and events, track and process payments, and procure purchases and contracts. Work closely with internal partners and external vendors to ensure accurate and timely payments and deliveries.

Outreach Support: Act as a liaison to internal and external networks and organizations to develop and maintain effective working relationships. Coordinate and track the on-boarding of new institutional members. Assist in ongoing marketing efforts by coordinating printing and mailings, keeping contacts lists updated, collecting and recording data, and assisting with website updates. Responsible for responding to or forwarding inquiries to TDL’s main email account.
Required Qualifications

  • Bachelor’s degree and one year of administrative or clerical experience, or a high school diploma or GED, and five years of administrative or clerical experience.
  • Demonstrated ability to collaborate with supervisor, co-workers, members, and partners, both online and in person.
  • Ability to prioritize responsibilities and manage concurrent projects with overlapping deadlines, while maintaining a high level of accuracy and attention to detail.
  • Ability to build positive relationships within the team and with external partners in ways that value diverse voices.
  • Demonstrated ability to work independently.
  • Willingness and ability to research and learn about new technologies and the work of libraries and archives.
  • Excellent interpersonal, verbal communication, organizational, and writing skills.
  • Commitment to the values expressed in Texas Digital Library’s Racial Equity Action Plan, mission, and vision.

Relevant education and experience may be substituted as appropriate.

 

Preferred Qualifications

  • More than three years of administrative or clerical experience.
  • Experience working in nonprofits or higher education.
  • Experience working remotely and/or supporting remote teams.
  • Experience supporting executive teams.
  • Master’s degree.
  • Enthusiasm, flexibility, and ability to work with minimal supervision.

Salary Range
$42,000 + depending on qualifications
Working Conditions
This position is fully remote. Work equipment will be provided. Must have internet access and phone. Some travel is required. Annual travel to Austin to assist with the Texas Conference on Digital Libraries. Occasional weekend and evening work may be required.
